Moving a Tenant Out
Walk through the move-out wizard: move-out date, deposit deductions, and final review.
When a tenant is leaving, use Process Move-Out from their detail panel rather than just deactivating them — it's a guided 3-step flow that properly closes out the lease, frees up the unit, and handles the security deposit.
- 1Move-out dateEnter the date they're leaving. If there's no active lease on file, RentSystems tells you up front that this will just close the tenant record without ending a lease.
- 2DepositThe security deposit on file is shown automatically. Add deductions as an itemized list — description plus amount for each line (damage, cleaning, unpaid balance, etc.). The Deposit Return Amount is calculated for you as deposit minus total deductions, but you can override it manually if needed.
- 3Review and confirmA summary shows the tenant, move-out date, deposit return amount, and every deduction line. Click Confirm Move-Out to finish.
Heads up
Confirming a move-out ends the active lease, marks the unit vacant, and records the deposit return as a credit on the tenant's ledger, all in one action. If move-out email notifications are enabled in Settings, the tenant is notified automatically.
